Information fragmentation is the silent killer of team velocity. When critical setup procedures, product guidelines, or workflows live only in individual heads, teams spend half their day asking "where do I find X?". Recognizing this, I took on the challenge of establishing our company's first structured, centralized knowledge repository.
Establishing a Single Source of Truth
Building our company Knowledge Base was not just a technological task — it was a cultural shift. By breaking the journey down into 5 clean, logical ascents, we migrated scattered brainpower into a thriving documentation engine.
Phase I: Status Quo Discovery
Investigated the current information landscape. Audited how and where different departments were storing knowledge, exposing critical informational bottlenecks and hidden documentation gaps.
Phase II: Requirements Gathering
Conducted cross-functional workshops and surveys. Gathered concrete, daily documentation requirements from engineering, product, and operations to map out our ideal knowledge-sharing workspace.
Phase III: Tool Evaluation & Testing
Ran structured comparisons and hands-on trials with multiple documentation frameworks and modern wiki platforms, matching features against our gathered team requirements.
Phase IV: Slite Selection & Rollout
Selected Slite as our centralized single-source-of-truth. Designed the global categorization architecture, migrated legacy files, and executed hands-on onboarding sessions to ensure company-wide alignment.
Phase V: Ownership & Long-Term Governance
To prevent information decay, we successfully hired and onboarded a dedicated Knowledge Manager. They now act as the primary owner, curating categories, moderating updates, and keeping Slite living and fresh.
